Do you think that document management systems are not an "if" but a "when"?

Do you think that document management systems are something that companies should look at as not "if" they need it but "when" they need it? Do you find document management systems to be important enough that all companies should purchase one?

This is a tricky question to answer.

With many of the organizations shifting to capitalize on social networking, the shift from SharePoint to other management systems has started.

I think that for the most part this answer lies within the organization itself - most larger organizations will find it critical to document and manage all of their information resources, while many smaller organizations can get by with the "this-goes-in-this-share-folder" approach.

However, as technologies are improving, I don't necessarily see companies investing heavily in document management software so much as information management system - combining project management, time and task tracking, communication, as well as documentation management.

I agree with Stephen. I think documents are an anachronism. Digital signature and paperless workflow and task management systems really replace them. Who the heck wants to store all that paper, anyway?

Absolutely. Many organizations who realize its importance already are doing it on an ad hoc basis: using Google Docs etc. Interesting thing is that whenever the question of document management comes up, it is seen only in the context of saving paper and its manifestations. I think it should also be seen in the context of safe storage of physical papers (important physical documents are always prone to the threat of fire, theft, moisture, termites or even kids!) as also a consumer service opportunity. I think the "when" definitely depends on the type of industry the company is in. Not every business needs a DMS because they aren't in the business of having or working with a lot of paper. However at some point I do assume that most transactions will be done digitally, just as a matter of practicality. However I do not see the every company moving towards DMS. http://www.documentsmanagementsystem.com/index.html this was a good site for research on the subject.

Document management systems or more broadly Enterprise/Content Management (ECM/CM) systems are certainly a “when”. These systems greatly improve so many aspects of business operations that they are rapidly becoming necessary just to remain competitive regardless of the scale of your business.

Whether running a local plumbing supply company or a multinational insurance enterprise, document management is very important. ECM systems significantly increase document portability, retrievability, and searchability. This in turn drives down the time and money spent on operations.
